That’s very kind of you both, Mike and Bob !!
When I have a little time I’ll give it a proper try with one of the small documents. If unsuccessful, I might take you up on your kind offer!
Many thanks!
Cheers Phil

Based on Jeff's recommendations I have signed up for PlaneBase this morning. As far as I can see, the biggest advantage they have over the others databases available is that they should be able to transfer my existing Excel spreadsheets directly to Planebase. I'm just waiting for approval from their admin team.

hi, i'm a dinosaur technically so the daughter says, so I have tried spottingmode, as a trial you get 5000 registrations, you can record by reg, c/n numbers, fleets mil and civil, you can download custom made serial books, and production runs... So for the moment i'm trying to organise my logs, but started back in 1961 so there's lots of bits of paper... trouble with me amongst other things is I don't trust technical things, so unless its 100% safe I will still have my bits of paper!!!
anyway got to go now, if I can remember how to change web-sites... regards, dave...

I have now downloaded the PB programmes and they are set up on my PC. The guys at PB think they can transfer my Excel files straight onto the PB interface but first I have to amend a load of locations, mainly from my US trips. I went to Chicago in 2006 and 2007 and for some unfathomable reason put "COH" for Chicago O'Hare rather than "ORD" so I have all those to change from six visits during those two trips. But I also went to Midway and entered those correctly as "MDW" so goodness knows what I was thinking. "Pillock" comes to mind......It's gonna be a long job, the first day at ORD in 2006 I made over 900 frames.

Is there not a ‘find’ ‘replace’ function in excel as there is in word? If so, could be a 2 minute job?

Graham, 1 > Open the Excel Worksheet that you need to change 2 > Go to the top Blank Grey Cell ( you see the line numbers going down the left starting at 1 and the spreadsheet headers starting at A (unless you have re-named them), just above the 1 and in front of the A is a single empty blank grey cell ( Below the toolbar ) and click once with the left mouse key ( Whilst the pointer is hovering over the cell ), your spreadsheet should now turn blue Capture by Adrian Share, on Flickr 3 > Press Ctrl + F 4 > A dialogue Box appears, The first part saying " Find What: ", type COH 5 > Click on the Replace Tab, on the same box, this says Replace With: ORD Capture-2 by Adrian Share, on Flickr 6 > click the " Replace All " button 7 > Jobs a Good un !! Long Job = 10 Secs Cheers from rainy Cornwall

Or change them once there imported, again a 2 min job

You need to be careful using the “replace all” button, as it is not selective. For example, if one of the registrations on the spreadsheet is (say) UR-COH it will change to UR-ORD. Good luck!

Or change them once there imported, again a 2 min job After what jerry says it maybe best to do it after, you can select which bits will change then as opposed to changing all!

OK chaps, next question, some of my spreadsheets are laid out whereby I just put the international prefix at the top of the page then just the letter/numbers by the side of each aircraft, for example, rather than A7-BAA, A7-BAB, A7-BAC, etc, I have just BAA, BAB, BAC, etc. Does Excel allow me to insert the prefix before each reg without having to do them one at a time?
Cheers Graham

Perhaps if you have a space before the BAA etc, you could try search for ‘spaceB’ and replace with ‘A7-B’, but I am not an excel expert, so hopefully someone else can give you a better solution.

Another way, Graham, is as follows:-
Assume for the sake of argument that "BAA" is in cell A3, then
1.) Select an empty cell on the same row than has nothing in the cells below in the same column.
2.) Type in the selected cell exactly the following in blue ="A7-"&A3 ....................A7-, of course, being the country letters and separator - which you can change for your other countries' worksheets. ******
3.) Copy that selected cell down that same column to the end row of your list.
4.) Select that new column and "Copy" then "Paste Special...Values" back to cell A3.
Done. Especially useful if you have a great big long list.
Cheers,
Bob
****** This is an example of a string formula. You are producing in the new cell the text string A7- (contained within the double quotes) immediately followed by the contents of cell A3.

Graham
Assuming “BAA” etc are in the left-hand column of the spreadsheet, you need to insert a column to the left of it, enter “A7-“ in the first box in this column (next to “BAA”) and copy this down the column until the end of the Qatari registrations using copy and paste. Don’t have excel on my I-pad here in Madeira so can’t tell you exactly what keys to press, but it should be straightforward.

May I take this chance to thank All that have contributed to this 'Data Base' subject ? I have found this all very interesting and have given me a lot to consider over the coming dark days . During a period of working overseas at the end of the nineties I started putting all of my sightings on to my own 'data base' . Due to the country I was working in being a 'police state' I could not bring a suitable data base into the country nor get it via the heavily monitored internet . So I use MS Word Tables , having several for different categories such as US Mil , Foreign civil and so on . This took quite a time as my sightings go back to late fifties ! Also following a day out it takes quite a time to sort out what is new because of re used registrations and serials . Also there is the need to obtain up dated information . So , all this talk of data bases has given me a lot to think about and the thought that it might be possible to go from Word to Excel and onto a proper data base has got me interested . I think that I shall have a try going from Word to a data base via Excel but keeping a copy of my own stuff very securely out of the way . Just need now to decide which to pic . Thanks . Chrisj

Chris,
If your current database(s) is(/are) in the form of MS Word tables (created by "Insert....Table"), then going from Word to Excel is literally just "Copy" from Word and "Paste" into an Excel worksheet. It is that simple.
OK, you end up with the cell border formatting that you might want to remove, but I suspect that will be irrelevant.

Chris, I switched to using a "proper" database back in late February, I have friends who use ADU and those who use Planebase although there are probably others out there too. I opted for PlaneBase and it took me six months of every available minute to enter all my Excel spreadsheets onto the database. I'm probably luckier than many in that I work from home two or even three days per week so could wangle some additional time between work phone calls and emails. Even so, I entered around 51,000 registrations into Planebase, split roughly as 45,000 frames and the rest as scrapes. If I'd added every reg from every trip/log it would have been at least half as much again, but I worked directly from my Excel spreadsheets by country whereas Bill loaded ADU from his logs, so presumably would have unknowingly entered the same reg many times.
If your Excel spreadsheets are laid out in a specific way, then the guys at Planebase ( and ADU I think...) can load them for you and save a massive amount of work.
The benefit is that you then have a colossal amount of information at your fingertips. Within a couple of seconds I know how many Boeing 727s I've seen, how many United Airlines I've seen, how many by country prefix I've seen, and that's just the tip of the iceberg. I also use PlaneBase mobile which I sync with the main database once a week or so and using both of these has to all effects made me a "paper free" spotter.

Thanks Bob and Graham . All info now among the little grey cells ! This all seems to be the way to go and as a silver serfer I would like to say that time is not a problem but someone near by might have other thoughts on that !!!!! I will certainly give it a go . Thanks to all on this subject . Chrisj

Hi Chris, yes Planebase does close the doors for new users occasionally. Jeff very kindly sponsored me so more than happy to do the same for you if you decide to go down the Plane base route.
The programme and all associated add ons was written by Nic Storey who is also the techie behind Plane Plotter.
